Gift Cards
patientNOW Gift Cards allow your patients to purchase and receive a gift that is meaningful and personal.
You may order gift cards through our accounting department. They are professional looking and will represent your practice well. In addition, by ordering gift cards through patientNOW, your cards are financially secure and are a valuable fraud prevention tool. For additional information, check out Ordering Gift Cards.
Configuring patientNOW to use Gift Cards
If you do not see "Gift Card" as an Invoice type when you Add Invoice on the Patients | Registration/Billing, Invoices tab, contact our support team at support@patientnow.com.
Once we turn on the Gift Card functionality, you will need to exit patientNOW and sign back in to see the option.
Selling Gift Cards
patientNOW allows you to sell gift cards to a patient to be used by a specific patient or by any patient. We recommend that you use patientNOW Gift cards for maximum security and fraud protection. For additional information, check out Ordering Gift Cards.
You are required to provide specific information to the system when selling a gift card. For additional information, check out Selling Gift Cards.
Redeeming Gift Cards
A patient may redeem gift card to pay for an Invoice as long as the gift card was sold for all patients or to that patient specifically. For additional information, check out Using a Gift Card as Payment on an Invoice.
Note: Once a Gift Card is used to pay for an invoice, you will be unable to Unlock or Delete the original gift card sale invoice. In addition, you may not Refund a Payment, Add Write-Off, or Edit or Delete a Payment on the invoice. You will also see the payment made with the gift card in red on the Payments tab of the original Gift Card invoice.
Adding Funds to a Gift Card
patientNOW allows you to Add Funds to a gift card for your patient's convenience. If a spouse routinely buys gift cards for a patient, you can add funds to a single card instead of having the patient carry around multiple cards.For additional information, check out Gift Cards - Adding Funds.
Note: Reusing a gift card for a different patient can be confusing and cause corruption in your Unearned Income tracking.
Gift Card Management
patientNOW allows you to check the balance or the original purchaser of any gift card. For additional information, check out Checking the Balance on a Gift Card.
Since Gift Card sales create Unearned Income, you will want to run reports to show your outstanding liability, as well as the change in that liability over time. For additional information, check out Four Accounting Buckets.
